How Does a Coffee Fundraiser Work?
Fundraisers are flexible and can be managed to meet your group’s needs. Below are the primary ways that groups like to manage fundraisers.
Answer: How much do you want to make??!
A "TRADITIONAL" coffee fundraiser is similar to the way that Girl Scouts sell cookies. You collect orders and money in advance from friends, family and your surrounding community and then you deliver the product when it comes in:
- Java Fundraising provides you with a custom flyer, branded with your group’s colors and logos, with an order sheet on the back.
- Each individual member of your group receives their own order sheet.
- Your group members call on family and friends, workmates and neighbors.
- Your members take orders and collect checks and cash up front.
- Group fundraisers are typically open anywhere from 3-4 weeks.
- You pick a day when individual member orders and money collected need to be turned in to your group coordinator.
- At the end of the fundraiser, your group’s fundraising coordinator will combine individual orders into one large group order (using the spreadsheet provided by JavaFundraising).
- Your organization turns in a master order along with a check or money order to cover order fulfillment. As your group collected the all the money, it keeps 50% of all sales and sends a money order along with the master product order sheet to Java Fundraising to cover the cost of order fulfillment.
- Your group’s order is then roasted, private label packaged and shipped on pallets to your fundraising coordinator within 14 days of receiving your order.
- Within your shipment, individual member orders will be packaged in separate labeled containers to make it easy for you to distribute!
- Your coordinator schedules a pickup day for all individuals to come get their orders.
-
Your individual members then deliver their orders to their supporters.
If you prefer, all sales for your fundraiser can be managed through a free online store allowing you take cash, check and credit cards.
Java Fundraising will provide a free online store for your fundraising event branded with your organization logo and colors:
- Java Fundraising will create a co-branded online store allowing for credit card sales.
- Java Fundraising will provide promotional flyers and individual business cards for distribution to promote the group fundraiser. Business cards will be branded with your organization logo and colors and space will be provided on the back for individual seller name and personal online code.
- Cards come shrink-wrapped in bundles of 25 making it easy to distribute to individual participants.
- Each participant writes their own name and personal online code on their cards, allowing the online store to track individual sales.
- Individuals can easily distribute cards and encourage online sales.
- Individuals can also send out email links to friends and family with the link to the store and their individual online code so friends and family can purchase directly.
- Supporters fill out an order form and use a credit card to pay directly for merchandise.
- At the time of the order cut-off date, Java Fundraising provides the group with a detailed group order along with sales reports for each individual.
- After getting final approval from the group, JavaFundraising places the coffee order and sends the group a check for 50% of sales (minus credit card fees of 3.5%).
- Your group’s order is then roasted, private-label packaged and shipped on pallets to your fundraising coordinator within 14 days of receiving your order.
- Within your big shipment, your individual member orders will be packaged in separate labeled containers to make it super easy for you to distribute!
- Your coordinator schedules a pickup day for all individuals to come get their orders.
- Your individual members then deliver their orders to their supporters.
NOTE: Anything ordered through the online store will still be delivered as part of the big group order. This means the individual who makes the sale WILL BE RESPONSIBLE TO DELIVER THAT PRODUCT. So, if Uncle Tim in New York buys something from his nephew Jimmy in Washington State, Jimmy will need to ship Uncle Tim his coffee at his own expense.
Your group can add an online store to any TRADITIONAL FUNDRAISER allowing you take cash, check and credit cards.

Benefits of adding a free online store:
- No technology or set up for your group! Java Fundraising manages it all.
- No individual collecting of money
- No need to input individual orders
- All orders are tracked back to individual sales accounts
- Overall less work for group coordinator
- Handing out cards still gives youth face-to-face opportunity to pitch their cause
- Can use email to get sign-ups
- Offers supporters ability to pay with a credit card
Great question...and very important!
One of the biggest reason your group keeps 50% of its sales is that you are responsible for both sales and distribution of your fundraising products.
